Getting started

Welcome to Qualify AI

Qualify AI finds qualified prospects for your business, writes AI-powered outreach emails, and sends them the moment you approve. Nothing leaves your account without your say-so.

1
AI finds & scores leads
Every day, Qualify AI searches for decision-makers who match your ideal customer profile and scores them by fit.
2
You review & approve
You see each lead in your dashboard with three ready-to-send message variants. Pick one, edit if you like, then approve.
3
Email sends automatically
Once approved, the email is sent on your behalf. Follow-up emails are queued for your review before they go out too.
i
First time here? Log in with the credentials your agency provided. Your dashboard is at the same address as this help page, one level up.
Navigation

Your dashboard

After logging in you land on the Leads screen. It shows every lead assigned to your account, sorted by date, newest first.

Status badges

Pendingwaiting for your review.
Approvedthe email has been sent.
Rejectedyou chose not to send this one.
Not Qualifiedscreened out by the AI as a poor fit — never emailed.
i
Not Qualified. This tab counts the prospects the AI screened out for you — wrong region, size, or already filtered. They never receive an email and don't count against your monthly limit.

Proper Lead?

Each card has a quick thumbs-up / thumbs-down “Proper Lead?” control. It sends a private quality signal to your agency so they can sharpen who gets sourced — it does not approve, reject, or send anything.

Use the filter bar at the top to show only pending leads, or search by company name.

i
Monthly cap. The top of the dashboard shows how many leads remain in your monthly allowance. This counter resets on the 1st of each month.

Dashboard themes

Click the pencil icon (top-right) to switch themes — Midnight, Graphite, Emerald, Violet, or Daylight (a light mode). Your choice is saved to your account for next time.

The bell icon shows new-lead and activity alerts. A badge marks unseen items and clears once you open the panel.

SubjectQuick idea for Beaumont Partners' Q3 pipeline
Hi Jean, I noticed Beaumont Partners has been scaling its advisory team — impressive momentum. We help firms like yours book 3–5 extra qualified meetings a month without adding headcount. Worth a 15-minute look?

You can read the full text of each variant before choosing. If you want to personalise the message, click inside the text box and edit directly.

Actions

Approving a lead

1
Select a variant
Click Variant A, B, or C. The selected variant is highlighted in blue.
2
Edit (optional)
You can change the subject line or message body. Edits are saved only for this lead.
3
Click Approve
The email is sent within seconds. The lead status changes to Approved.
!
Cannot undo. Once you click Approve, the email is sent immediately. Double-check the subject line and recipient before approving.
Actions

Rejecting a lead

Click Reject if the lead is not a good fit — wrong industry, wrong company size, already a customer, or any other reason. The lead moves to Rejected and no email is sent.

Rejected leads are kept in your history for reference. They do not count against your monthly lead cap.

Tip. Regularly rejecting low-score leads helps your agency tune the AI over time. Feel free to reject any lead that does not look right.
Follow-up sequence

Follow-up emails

After the first email is sent, Qualify AI automatically queues up to three follow-ups, each delivered as a threaded reply to the original (with Re: in the subject).

Tracking follow-ups

Each lead shows its follow-up status right on the card — waiting, active, complete, or replied — so you always know where a conversation stands.

Opt-outs are handled for you

Every follow-up includes a one-click opt-out for the recipient. If someone replies or opts out, the sequence stops automatically and they're suppressed from future emails — never deleted, so your history stays intact.

i
Timing between follow-ups is set by your agency. To pause a sequence or change the cadence, just let them know.
On the go

Qualify AI on Telegram

Getting connected

1
Share your Telegram username
Give your agency your @username — they approve access for your account.
2
Open the bot
Use the Open in Telegram link to start the Qualify AI bot.
3
Launch the Mini App
Tap to open the command center, then review, approve, or reject leads on the go.
i
Daily brief. Once connected, Qualify AI sends a short morning brief of your latest leads to your Telegram chat. Telegram access is enabled by your agency.
Automation

Auto-approve

If a lead sits in Pending for longer than the grace period set by your agency (typically 48–72 hours), it is auto-approved — up to the daily auto-approve limit.

Auto-approved leads use Variant A by default.
The daily limit prevents a flood of emails if you are away for several days.
Auto-approved leads are clearly marked in your history.

If you prefer to review every lead manually, contact your agency to disable auto-approve or increase the grace period.

Limits

Monthly lead cap

Your account has a monthly lead allowance. Once it's reached, no new leads are added until the counter resets on the 1st of the following month.

Rejected and Not Qualified leads don't count against it. If you need a higher allowance, contact your agency to upgrade your plan.
